How to set up account users

Cryptopay Business | Roles, access and approvals

Written by David

Use this guide to configure user access, maintain approval coverage, and resolve common issues.

Recommended setup

  • 1 Root: Account owner with full access.

  • 1 Manager: Manages users when the Root is unavailable.

  • At least 2 Admins: Manage API, project, and approval settings.

  • At least 2 approvers per approval type: Prevent delays when an approver is unavailable.

Where possible, assign these responsibilities to different people.

Choose the right role

  • Root: Full account access.

  • Manager: Invites, edits, and locks or unlocks users.

  • Admin: Manages API, projects, approvals, and financial operations.

  • Spend: Performs permitted exchanges and financial operations.

  • Support: Handles permitted refunds and related support tasks.

  • Create: Manages the hosted catalog and checkout.

  • View: Accesses reports.

Each user can have only one role and can access only assigned projects.

Only the Root and Manager can manage users.

Only the Root and Admin can manage API, project, and approval settings.

Security tip: Assign the lowest role required for each user's responsibilities. Grant financial permissions only to trusted, authorized team members.

Prevent common issues

User management is blocked: Only the Root and Manager can manage users. Always assign a Manager so user changes do not depend on the Root alone.

Approval requests are pending: Ensure at least two users can approve every approval type in use. If the only approver is unavailable, the Root or an Admin must assign approval rights to another eligible user in Manage Approvers.

A user cannot see a project: Ask the Root or Manager to check and update the user's project access.

API or approval settings cannot be changed: These tasks require Root or Admin access. Maintain at least two trusted Admins.
